PebbleCreek Homeowners Association Board of Directors Meeting

Wednesday, April 15, 2015; Tuscany Falls Ballroom; 6:00 p.m.

Present: John Kiekbusch/President/PCHOA, Nancy Wilson Smith/Vice President/PCHOA, Gregg Clymer/Secretary/PCHOA, Jack Sarsam/Treasurer/PCHOA and George Atwell/Director/PCHOA.

Call to order and introductions by John Kiekbusch/President/PCHOA.

Motion by Nancy Wilson Smith to approve the proposed March 18, 2015, Board of Directors meeting minutes, seconded by Gregg Clymer. Unanimously approved.

Bill Barnard/General Manager Report: GM report was presented by Mr. Barnard. Mr. Barnard usually gives monthly reports from all the departments, but tonight he thought that he would have the Department Directors talk about their accomplishments over the past year as well as speak about upcoming projects and events for the summer months. Mr. Barnard’s report will be available for viewing on the PCHOA website pebblecreek.org>governance>HOA Board. Copies of Mr. Barnard’s report will be available upon request. Listed below are the Department Directors whose reports will also be available on the website.

Jason Whitehill/Director of Golf, Paul McGinnis/Director of Golf Maintenance, Ken Sergio/Director of Facilities, Traci Baker/Director of Community Activities and Melissa Gonzales/Director of Food & Beverage.

Mr. Barnard introduced the other members of his staff who were present and thanked them for all they do. Joy Hertz/Administrator to the GM, Priscilla Wardlow/Website, Bill Halte/Manager/ALC, Trudy Shaffer/Financial Operations Assistant Manager, Diana Shull/Community Services.

Questions regarding the GM/Managers Report: Homeowner/Steve Phelps wanted to know when the new Aerobics building would be finished.

Answer: In the fall.

Marion Moskal/Finance Operations Manager Report: Finance report will be available upon request and for viewing on the PCHOA website.

Questions regarding the Finance Report: (1) Homeowner/Cindy Graham wanted to know how much interest was generated on the Long Term Reserve last year. Answer: $76,000 and we expect about $100,000 this year. (2) Homeowner who did not identify herself wanted to know with the increase in dues and the then increase into what we put into the Long Term Reserve; Will this go on endlessly?

Answer: The Long Term Reserve is not an absolute funding. I guess the answer would be “What level of risk are you willing to take?”

Director Comments:

George Atwell: Thank you all for coming. It takes 365 days a year, a good staff and wonderful managers to keep this community running like it does. I would like to thank the staff and the committees for the wonderful job they do.

Nancy Wilson Smith: As you heard from all the staff reports, the community and HOA have grown tremendously over the past three plus years I have been on the Board. We now have a very effective staff leadership team headed by Bill Barnard our General Manager. The goal of the Board is to maintain our premier community in a fiscally responsible way and under the leadership of our President John Kiekbusch we continue to do just that. Our partnership remains strong with Robson and we share mutual objectives. We hope that you have noticed an increase in HOA communications to the community in a more timely and accurate way. The center of the communications is our website, from which we have created the weekly PebbleNews enewsletter, the Golf Blast and special interest pages for our clubs and committees. Our volunteer committees are effective and working on behalf of the best interest of the community. We truly appreciate the time, knowledge and experience our residents share with the HOA. Thank you for your interest for attending the Annual Meeting.

Gregg Clymer: I started my position on the Board in January, 2014. I had previously been on committees and in a leadership position in a club. The scope of the HOA with millions of dollars in facilities and 300 employees required a quick immersion in its inner workings. I hope the rest of the Board is happy with my progress. One of the most positive things that I have found is the quality of management that we have and are hiring. We could not find a better manager than Bill Barnard. He has been able to master every aspect of the job and there are many aspects to master. I believe the HOA is in good hands and I thank you for the opportunity to serve.

Jack Sarsam: George and I sit on the Board of many of the Robson Communities. You (PebbleCreek) are the flagship of them all. Leadership comes from the Board, staff and the volunteer residents from the community. The volunteers save the community so much money with all their time, talent and knowledge they provide for free. I would like to thank them and say “you make this a great place to live.” Thank you all for coming.

John Kiekbusch: Thank you all for coming and showing your support. Jack and George help us do a better job. Last year the Strategic Planning Committee held some talks focused on our future and residents working together. They are planning on doing more of this type of program this year. Please check the time and place for more information about it on the website. This priceless event is an overview of what they are doing. Check it out. I would like to thank the Strategic Planning Committee and all the staff for all that they do for this community.
