Revisions made to HOA Potluck Policy

The HOA Board of Directors recently approved revisions to the HOA Potluck Policy. Included is the description of equipment and set-up for outdoor events. As our community grows, operations must streamline and the interests of the more than 7500 residents as a whole must remain at the forefront of decision making.

As equipment used for outdoor events and socials held by board approved sports clubs at the approved sporting facilities has aged, it has become unsafe, broken down and unsightly. The cost of the frequent need for replacement of these items, combined with the labor costs to clean, maintain, deliver, retrieve and store the equipment has become an unreasonable burden on homeowners.

Other major factors contributing to the policy revision include:

• The Creative Arts clubs can no longer absorb the costs to repair and replace tents used by groups outside their club structure that have broken due to high usage, age, weather damage or in some cases accidental damage.

• The HOA Food & Beverage Banquets Department is seeing an increase in demand for their table and chair inventory as we grow, and storage for these items is at capacity.

• In addition, this banquet equipment, meant primarily for regular indoor use, is being damaged due to outdoor use, continual movement from place to place and weather damage.

This equipment referred to in the revised policy is not the existing furniture on the patios and inside the two sports buildings. All existing patio and indoor furniture in the sports buildings will remain and be maintained and/or replaced as outlined in the HOA Board of Directors long-term budget plan.

Rental tables and chairs will be permitted in approved potluck locations in quantities that are safe and reasonable for the requested space, as determined by the HOA. Reputable rental companies are widely available.
