Patrol bulletin – gate activities

John Singleton, director of community service and patrol

We have more than 100,000 visitors who enter through our two front gates each month. Some months, especially during the holidays, we will exceed 120,000 guests. Quick math will tell you that’s one car every 30 seconds. It’s a big chore for us to screen each guest to keep our homeowners as safe as possible. We have extremely low issues of crime here in PebbleCreek because of our gates and the watchful eyes of our patrol.

We have had several questions from homeowners as to how we handle the more than 100,000 visitors per month and still keep our homeowners as secure as possible. John Singleton, director of patrol, and the HOA board have installed several safeguards at the gates while still getting visitors through with as little delay as possible.

* The restaurants, clubhouses and golf courses are open to the public so visitors can patronize these venues without being a homeowner’s guest. These visitors are given directions and waved through. However, people who come to play pickleball or tennis must register as guests of homeowners.

* Guests who are here for just the day are to be issued a one-day pass.

* Guests who stay overnight will be issued an overnight pass for two days.

* Any guest that is staying more than one night requires the homeowner to call the gate at 623-935-0387 or register them through the gateaccess.net system and indicate the length of time their guests are staying.

* Contractors, landscapers and the like who regularly visit PebbleCreek are registered and issued a month-long contractor’s pass and are waved through. Passes must be displayed.

* Delivery vehicles with permanent company signage, such as UPS and FedEx, are waved through.

There are times when the gates are extremely busy and traffic is backed up, which can create a hazard. To minimize this, if guests are visiting just for the day, the greeter may ask if they know where they are going and, if they do, will tell them “go ahead” to clear the traffic hazard. Also, because of heavy usage, our computers or printers will go down on occasion. If that happens, we issue hand-written passes.

The CMS system notifies homeowners automatically through emails sent to the registered email address. If you are not receiving these notices, contact patrol during normal office hours and verify that we have your correct email address.

Homeowners can register their guests into our system through the gateaccess.net system. It only takes five minutes to set up. Simply call the patrol office at 623-935-0387 between 8:00 a.m. and 4:00 p.m., Monday through Thursday, and you will be led through the process of setting it up. At that time, you will be given your username and password to get into system. Once you are set up in the system, you can change your username and password to what you want it to be, and you also can set up to receive text messages when a pass is generated for your address.
