New member cards are coming soon

Over the last few months, staff has been busy transitioning files and data to the new Northstar business software system being implemented in PebbleCreek.

In conjunction with the new software that isn’t too dissimilar from other options available on the internet like you’re able to find provided on a website like filecenterdms.com, all homeowners and full-time residents in PebbleCreek are being issued a new member card (previously called homeowner cards). All residents have been asked to submit their data, either online or using a paper form. The new member cards are linked to Northstar and are expected to go live on September 1.

The new cards have several benefits over the old cards:

They can be used for charging more types of expenses at PebbleCreek. In addition to Food and Beverage and Golf, you can use your member card to buy most concert tickets and rent DVDs and Books on CD. In order to take advantage of the charging privileges, please make sure you have a completed charging privilege form on file. If you are using your current homeowner card for charging, you do not need to fill out a new form. If you wish to fill out a new form, you can find it online at http://www.pebblecreekhoa.org or at either of the front desks. Please note: This form does not replace the online form at www.PebbleMe.org, as mentioned below.

Once the online membership portal goes live, charges made with the new cards can be reviewed online within 24 hours of incurring the charge. There will be a single monthly bill for all charges made with the card and payments may be made online or by check.

The printing method for the cards has been improved. We do not expect the cards to fade the way the old cards did.

The cards contain an NFC chip which allows you to simply tap the card on a reader, rather than swipe it. The cards also can be used for entry to facilities, such as the fitness centers where cards are currently swiped by the desk personnel.

The cards are printed with your name, member number and photo (if available at the time of printing.) Photos on the cards provide greater security than the old cards. If you lose your card, no one else can use it and cards may not be passed off to unauthorized users.

Submitting your Current Contact Information and Having a Photo Taken

We are currently gathering the most current data on all homeowners and other residents through an online form at www.PebbleMe.org. We have also opened a Membership Room where you can fill out paper data forms.

Everyone is encouraged to stop by the Membership Room to have a photo taken. Some photos have been gathered from the fitness centers, from the HOA website and from the LifeLong Learning volunteer team, but not all photos in these categories were usable or able to be uploaded before the printing deadline. The majority of homeowners need to have photos taken for the next printing of the membership cards.

The Northstar Membership Room is open 9:00 a.m. to 3:00 p.m., Monday through Friday* in the Activities Center, Room 108. The Activities Center is located on the Eagle’s Nest side of the community at the northeast corner of Clubhouse Drive and Robson Circle.

The Membership Room is staffed by HOA employees and volunteers. They are available to help with:

* Taking photos for member cards

* Answering your questions about the new Northstar business system

* Assisting you in submitting your data**

* Assisting if you have information you’d like to add or change on previously submitted electronic or paper data forms

* Providing member card charging privileges forms to complete for those who don’t already have them on file

Priscilla Wardlow, Director of Technology and Co-coordinator for the Northstar installation in PebbleCreek, expects the Membership Room to be open throughout the month of August and into September if there is a need. The Member Card operation will transfer to the Eagle’s Nest front desk once the Membership Room closes.

Priscilla says she is pleased with the number of people who have already submitted their data for the new member cards. “It’s a great start, but we need everyone’s participation! Please tell your friends and neighbors the importance of getting their information into our new database. If we don’t have your data, you might miss out having your card ready for you!”

**If you are coming to the Membership Room to submit your data for the first time, the information you need to bring is who lives at your address, contact information for each person, how you wish to receive your HOA bills (email or by mail) and names and contact information for the people you would like notified in case of emergency.
