Board of Directors annual meeting minutes

PebbleCreek Homeowners Association Board of Directors annual meeting took place on Wednesday, April 16, 2014, in the Tuscany Falls Ballroom at 6:00 p.m.

Present: John Kiekbusch/President/PCHOA, Nancy Wilson Smith/Vice-President PCHOA, Gregg Clymer/Secretary/PCHOA, Jack Sarsam/Treasurer/PCHOA and George Atwell/Director/PCHOA.

Call to order and introductions by John Kiekbusch/President/PCHOA.

Motion by Nancy Wilson Smith to approve the proposed March 19, 2014 Board of Directors meeting, seconded by Gregg Clymer. Unanimously approved.

Employee of the Month: April, 2014:

Mr. Kiekbusch introduced Ann Fromm from PebbleCreek Patrol as the Employee of the Month. He read the full nomination Jim Brown/Director of Community Services had submitted for her recognition. Ann was recognized for her diligence in observing two women entering PebbleCreek who subsequently turned out to be involved in multiple crimes. The information Ann recorded led to their arrests by local police departments.

Bill Barnard/GM Report:

GM report presented and will be available upon request and for viewing on the PCHOA website. Mr. Barnard then introduced all his managers: Paul McGinnis/Director of Golf Maintenance and Common Areas, Ronnie Decker, Golf Operations/ENCC, Michael Pruitt/Golf Operations/T.F. Melissa Kallett/Director of Recreation, Marlene Wickizer/Director of Activities, Melissa Gonzales/Director of Food & Beverage, Sue Jackson/Creative Arts Coordinator, Ken Sergio/Director of Facilities and Jim Brown/Director of Community Services. Each manager gave a Power Point report on their particular department. Copies of all the reports will be available upon request and for viewing on the PCHOA website pebblecreekhoa.org>governance>HOA Board.

Motion by Gregg Clymer to approve the following proposed additions to the Unit Representative Committee: Karen Morgan/Unit 14, Sandy Priebe and Cidnee Lusk both for Unit 31, seconded by Nancy Wilson Smith. Unanimously approved.

Director Comments:

George Atwell: Thank you all for coming. I would also like to thank the staff for all their hard work that goes on behind the scenes. Thanks, everyone.

Nancy Wilson Smith: Thank you for taking the time and interest to attend your HOA annual board meeting. The Board set a deliberate vision to maintain PebbleCreek as a premier community and listening to all the presentations tonight, you can see we are putting our efforts toward meeting that vision. We have an incredible staff who cares about this community and meeting homeowner expectations. It really does take a village to support a village. PebbleCreek is really a small city. I want to share some comparative facts. PebbleCreek sits on 2300 acres and has a population of approximately 7200 with a budget of $14 million. The city of Litchfield Park is approximately 2000 acres with about 5300 population and a budget around $8.5 million. Wickenburg has a population of approximately 6200. Under the leadership of our President John Kiekbusch, we are formalizing a structure and processes for a very professional staff to run our city. We are impressed with the job Bill Barnard is doing and the team of professionals he has assembled who have saved us money while meeting the goals of the HOA and community needs. Nancy asked for a show of hands for people who used the HOA website. About two thirds were registered. This is the official website with accurate and timely information about our governance and community.

Jack Sarsam: Jack thanked everyone for coming. We normally have a pretty small turnout. I appreciated the excellent reports made by the managers. While the managers get paid, we have over 100 volunteers that give of their time freely and I would also like to thank them. Thank you.

Gregg Clymer: Thank you all for coming. Our 9:00 a.m. Committee Chair meeting this morning would surprise everyone here. They are wonderful volunteers and are our most valuable asset.

John Kiekbusch: I echo all the others have said. I wish all of you would have been to our Committee Chair meeting this morning. You would be very surprised to hear all that they do. This is my fourth year on the Board. We have a great group of managers with a Can Do attitude. If you take a problem or a question to them these folks don’t come up with excuses but rather, solve the problem. They have saved the HOA a lot of money and they make our system work. Thank you to our staff and volunteers. We try very hard to get information out to the community in a very timely manner. Thank you all for coming.

Motion by Gregg Clymer to adjourn, seconded by Nancy Wilson Smith. Unanimously approved.
